Our Site can collect and use personal data in ways that are described here, and in a way that is consistent with our obligations and your rights under the law.

3. What Does This Policy Cover?

This Privacy Policy applies only to your use of our site. Our Site may contain links to other websites. Please note that we have no control over how your data is collected, stored, or used by other websites and we advise you to check the privacy policies of any such websites before providing any data to them.

  8. Rights relating to automated decision-making and profiling. Our systems flag potential spam accounts for review when registering. But beyond this, we do no profiling, and we carry out no automated decision-making.

It is important that your personal data is kept accurate and up-to-date. Registered users of The Trek BBS and Talk CSI can change their personal details such as email address by logging in, clicking their username then selecting account details.

If you have any cause for complaint about our use of your personal data, you have the right to lodge a complaint with the Dutch Data Protection Authority (Dutch DPA). However the DPA will have expected you to have contacted us first and you will need to provide proof of correspondence including our response. As such, we would welcome the opportunity to resolve your concerns and ask you please contact us in the first instance, using the details in Part 13.

6. What Data Do You Collect, How and Why?

Depending upon your use of our site may collect and hold some or all of the personal data set out in the table below, using the methods also set out in the table. Please also see Part 12 for more information about our use of Cookies and similar technologies. We do not collect any “special category” or “sensitive” personal data, or personal data relating to children, or data relating to criminal convictions and/or offences.

6.1 For all sites

IP address This is collected in system logs and user profiles at The Trek BBS and Talk CSI for security reasons and so that we can block people or services from accessing our sites that, at our discretion, may be a security risk. It is also so we can comply with legal obligations if requested by authorities.
System information We collect basic information such as the browser type and version and operating system as part of standard system logs.

6.2 For registered users of The Trek BBS and Talk CSI

Data Collected How we collect and use the data
Email address This is collected and stored if you register for The Trek BBS or Talk CSI – allowing you to create and login to an optional account.
Date of birth This is required to ensure that you are of an appropriate age to join the site. It is up to you if you wish to display your birthday to other users.
Interests/personal details You can indicate which TV shows you like in your profile to share with other users as well as general biographical information. This is optional.
Account recovery secret You can set a secret phrase which can help identify you if contacting the board administrators for assistance. This is optional.

Length of visit, the pages you view, threads/posts
that you ‘watch’, website navigation and any other
related browsing activity

This is to provide a personalised experience so that you
can see what threads you have visited, keep track of
favourite content, and receive personalised alerts.

PayPal information If you choose to purchase a Premium Membership certain information will be available such as your payment email address. We will also retain information on your current and past memberships.
Disciplinary records Users may report your content if they feel it to be in breach of board rules. A record of this is kept, along with any moderating decisions such as warnings, infraction points and bans when using the message board.

For registered members, with your permission we may also use your personal data for marketing purposes, which may include contacting you by via email with information, news, and offers you may find interesting. You will not be sent any unlawful marketing or spam and you can opt out at any time under your account settings. We may sometimes send you compulsory emails relating to your membership at the site or administration of your account.

The following automated profiling may take place:

  • Upon registration your account will be measured against a number of factors such as location, time zone, and publicly available blacklists to identify possible spam accounts. As such your registration may be flagged for manual review.

We will only use your personal data for the purpose(s) for which it was originally collected unless we reasonably believe that another purpose is compatible with that or those original purpose(s) and need to use your personal data for that purpose. If we do use your personal data in this way and you wish us to explain how the new purpose is compatible with the original, please contact us using the details in Part 13.

In some circumstances, where permitted or required by law, we may process your personal data without your knowledge or consent. This will only be done within the bounds of the Data Protection Legislation and your legal rights.

7. How Long Will You Keep My Personal Data?

We will not keep your personal data for any longer than is necessary in light of the reason(s) for which it was first collected. Your personal data will therefore be kept for the following periods (or, where there is no fixed period, the following factors will be used to determine how long it is kept):

However, we reserve the right to delete accounts if they have been inactive for a long period and if there is no response to emails requesting that you keep your account active.

PayPal information If paying for a Premium Membership, Information will be retained by PayPal pursuant to PayPal’s privacy policy.

8. How and Where Do You Store or Transfer My Personal Data?

We store your personal data in the UK.

We will only store your data in the UK and within the European Economic Area (the “EEA”). The EEA consists of all EU member states, plus Norway, Iceland, and Liechtenstein. This means that your personal data will be fully protected under the EU GDPR and/or to equivalent standards by law. Transfers of personal data to the EEA to and from the UK are permitted without additional safeguards.

9. Do You Share My Personal Data?

We will not share any of your personal data with any third parties for any purposes, subject to the following exceptions.

If we sell, transfer, or merge parts of our business or assets, your personal data may be transferred to a third party. Any new owner of our business may continue to use your personal data in the same way(s) that we have used it, as specified in this Privacy Policy.

In some limited circumstances, we may be legally required to share certain personal data, which might include yours, if we are involved in legal proceedings or complying with legal obligations, a court order, or the instructions of a government authority.

If any of your personal data is shared with a third party, as described above, we will take steps to ensure that your personal data is handled safely, securely, and in accordance with your rights, our obligations, and the third party’s obligations under the law, as described above in Part 9.

We do pass some information a third party for security purposes, checking new registrations only against the StopForumSpam database.

StopForumSpam

We query your username, IP address and email address in a hashed format via its EU API. All data queried via the API is recorded in the way of web server logs at StopForumspam. They state: “These logs are kept for a period of seven days and are used for abuse and intrusion monitoring. After seven days, they are removed from the server. Some off site backups may contain partial log data. Off site backups are encrypted. No log data has been disclosed to anyone (and never will be).”

10. Can I Withhold Information?

You may access our Sites without providing any personal data at all. However, to use all features and functions available on The Trek BBS and Talk CSI you may be required to submit or allow for the collection of certain data.

You may restrict our use of Cookies. For more information, see Part 12.

11. How Can I Access My Personal Data?

If you want to know what personal data we have about you, you can ask us for details of that personal data and for a copy of it (where any such personal data is held). This is known as a “subject access request”.

You will be kept fully informed of our progress.
